Who is responsible

What we collect

• Account details: name, job title, work e-mail, phone number.
• Company details: name, country, VAT and registration numbers, website, and the registered name and address returned by public registers.
• The register: AI tools, answers, decisions, tasks, papers and evidence files.
• Staff survey answers and policy sign-offs, with the name and e-mail people choose to give.
• Security records: sign-in times, IP addresses and an activity trail.

Why

To provide the service (contract), to check that sign-ups are genuine and keep the service secure (legitimate interest), and to meet legal and tax duties.

Checks at sign-up

We confirm your e-mail with a code and may check the VAT or company number you give with public registers such as the EU VIES service, Companies House or KvK. We do not use these checks for any other purpose.

Statements

Card or bank statement files you upload are scanned for the names of AI tools and are not stored. Only the tools you choose to add are kept.

Who we share with

Our hosting provider in the EU, our e-mail provider, our payment provider for payments, and, if you ask for a document redraft and it is switched on, Anthropic to process the draft text.

How long

For as long as the account is open and up to [period] afterwards, unless the law requires longer.

Your rights

You can ask for access, correction, deletion, restriction, portability, and object to processing. Write to need@soundchecksoftware.eu. You can complain to your data protection authority.
